Pricing transparency

Look for clear, published pricing. Watch for per-person fees that scale unpredictably, setup costs, transaction fees on giving, and charges for features that should be standard.

Ease of setup

How long does it take to get running? Does the vendor offer data migration support? Can your team realistically learn the platform without dedicated training sessions?

Automation capabilities

There is a wide range here. Some platforms are pure databases that require manual everything. Others offer templates and reminders. A few automate entire workflows. Be specific about what "automation" means when a vendor claims it.

Data portability

Can you export your data if you leave? This matters more than most churches realize at the point of purchase. Ask about export formats and what happens to your giving history, member records, and communication logs.
